Notifications, automation and connections

Inbecto telling you things, and working with other software. The bell shows what needs you. Automation sends reminders and does small jobs by itself when something happens. API keys let your website add enquiries as leads, and let Claude read and work with your workspace.

Automation

Rules that do things for you when something happens.

  1. Rules that run by themselves: switch one on and Inbecto reminds the right person, adds a task, or tells your other software.
  2. On a plan without Automation (as in this sample workspace) the page says Not in your package, with See packages to compare plans.

API keys

Keys that let other software and Claude work with your data.

  1. Keys for your own software, such as a website enquiry form or an accounting package, to read and add records in Inbecto.
  2. On a plan without the API (as in this sample workspace) the page says Not in your package, with See packages to compare plans.

What does the bell show, and can I choose what I am told about?

The bell lists what changed for you: tasks, things given to you, updates and payments, plus messages from the Inbecto team. Open it and press the settings button to choose which kinds you get.

The bell next to your name (top bar on phones) shows a count of new notifications. Open it to see them; tap one to go to the record; Mark read or Mark all read.

Press Choose what you are told about to switch each kind on or off:

  • Tasks: tasks given to you, and tasks you gave moving along.
  • Given to you: leads, projects and visits put in your name.
  • Updates: your leads and projects changing stage, customer replies.
  • Payments: money recorded on your invoices and projects.

Messages from the Inbecto team always come through. Read notifications are cleared after a few months.

How to · For Company Admin

How do I set up automatic reminders (automation)?

Setup > Automation (Turnkey plan, company admins). Switch on rules like "a lead has had no update for 3 days" or "an invoice is 7 days past due"; Inbecto tells the right person, can add a task, and can send the event to your other software.

Where in the menu
Setup > Settings
Who can open it
Company Admin, Viewer

On screen: Automation

Open Automation. Each rule can be switched on and set up:

  • Leads: a new lead comes in; a lead has had no update for some days; a lead's follow-up date is today.
  • Quotations: a sent quotation has no answer after some days; a customer accepts a quotation.
  • Money: an invoice is some days past its due date; a payment is recorded.
  • Stock (with Inventory): an item in your godowns falls to its reorder level.

For each rule choose who to tell (the person on it, or the company admins), whether to also add a task for them, due tomorrow, and optionally a web address to send it to another system (each event is sent as JSON with the header X-Inbecto-Token; copy the token shown).

What happened lists the last 30 times a rule acted. Automation comes with the Turnkey plan.

How to · For Company Admin

Can my website enquiry form add leads to Inbecto automatically?

Yes, with an API key. A company admin makes a key under Setup > API; your web developer sends each enquiry to the Inbecto API with it. inbecto.com/developers has the details.

Where in the menu
Setup > Settings
Who can open it
Company Admin, Viewer
Plan
Every plan

On screen: API keys

  1. Open API (Turnkey plan, company admins).
  2. Type a name (for example "Website form") and press Make a key.
  3. Copy the key and press I have kept it: it is shown only once.
  4. Give the key and the page inbecto.com/developers to whoever runs your website. It shows how to add a lead from a website form, and every kind of record and its fields.

Keys act for your company. They can read, add and change records, never delete. Keep a key on your server, never in a web page. Switch off any key you no longer use.

How do I connect Claude to my workspace?

In Claude, open Settings > Connectors, search for Inbecto and press Connect, then sign in to Inbecto and allow it. Claude can then look up your records and make quotations, invoices, leads and more, as you.

  1. In Claude, open Settings > Connectors.
  2. Search for Inbecto and choose it. Not listed? Choose Add custom connector and paste the address shown under Search > Connect Claude in Inbecto.
  3. Press Connect. You are brought to Inbecto: sign in as yourself and press Allow.

Claude then works as you, with your role, in your own workspace: it can look up customers, leads, quotations, invoices and projects, and make quotations and invoices or add products, leads, tasks, expenses and payments received. It says what it is about to do before adding or changing anything.

See and remove connections under Search > Connect Claude > Disconnect. You need a Claude plan that allows connectors. The sample workspace cannot be connected.
