GST and e-way bills

How Inbecto handles GST: CGST and SGST inside your state, IGST outside it, different rates for different items, HSN and SAC codes, the composition scheme, and e-way bills for goods you move.

Your GSTIN and state are set once under Settings > Company. From then on every quotation and invoice works out the right split by itself from the customer's state.

The screens

E-way bills

E-way bills for goods you move.

  1. Every e-way bill you made, newest first, with a search by e-way bill, invoice or vehicle number.
  2. To make one, open an invoice's three-dot menu on the Invoices tab and choose E-way bill: Inbecto makes the file to upload on the government portal.

How do I use 12% or 5% GST instead of 18%?

Type the rate in the box next to the GST switch on Price and terms. It applies to the whole document. Change your usual rate in Settings > Documents & terms > GST by default.

  • One document: on Price and terms, type the rate beside the GST switch (for example 12). It is used for every line of that document.
  • Every new document: Settings > Documents & terms > GST by default, change the number and save.
  • Two rates on one job: make one document for each rate.

The Tax rate % on a product in Product master is kept with the product for your records and imports; the document's own rate is the one charged.

How to

What are HSN and SAC codes and where do I put them?

HSN codes goods, SAC codes services. Save the code on each product in Product master; it prints on every invoice line and goes into the e-way bill. You can also type it on a line.

  • HSN is for goods. UPVC windows and doors are usually 3925 (39252000).
  • SAC is for services and starts with 99, for example 9954 for construction services or 998391 for interior design.

Where to put them:

  1. In Product master, edit the product and fill in HSN / SAC code. Every new line of that product carries it.
  2. On a document, the HSN / SAC box on each line can be changed for that line.

The code prints on invoice lines, in the sales register report, and on the e-way bill. Ask your accountant for the right code for what you sell.

How to

My business is under the GST composition scheme. How do I invoice?

Raise a help request. After checking your GST registration, the Inbecto team switches the composition scheme on: no GST is charged and invoices become a Bill of Supply with the required declaration.

Composition dealers may not charge GST. Inbecto handles this as a company setting that only the Inbecto team switches on, because getting it wrong affects every invoice.

  1. Raise a help request saying your company is under the composition scheme. Attach a screenshot of your GST registration showing it.
  2. Once checked, we switch it on.

From then on:

  • The GST switch on documents is off and locked, with a note saying why.
  • Invoices print as Bill of Supply with the declaration "Composition taxable person, not eligible to collect tax on supplies".

If you leave the scheme, raise another request to switch it off.

How do I make an e-way bill for an invoice?

On Invoices open ⋯ > E-way bill, check the details and press Download file for the portal. Upload it on the government e-way bill portal (free), then type the e-way bill number back in Inbecto to print it.

Inbecto prepares the e-way bill; the government portal issues it.

  1. On Invoices, press ⋯ on the invoice > E-way bill.
  2. Check your and the customer's GSTIN, address, PIN code and state. If the goods go to the site, tick Goods are delivered to a different address (site) and fill it in.
  3. Check the lines: goods with their HSN are included; service lines (SAC) are left out of the e-way bill.
  4. Fill in transport: mode, distance (km) (0 lets the portal work it out from the PIN codes), vehicle number, transporter if any.
  5. Fix anything highlighted ("The portal would reject this" lists what).
  6. Press Download file for the portal.
  7. On the government e-way bill portal, use bulk generation to upload the file.
  8. Copy the 12-digit e-way bill number, the date and time it was generated, the distance and the Valid upto date, type them into Inbecto and press Save e-way bill.

The e-way bill number now prints on the invoice, and Print e-way bill gives a printable copy with QR code and barcode (summary or Detailed print). All e-way bills are listed on Invoices > E-way bills.

Companies that must e-invoice (turnover above ₹5 crore) generate e-way bills for business customers with the e-invoice (IRN) instead.

E-way bills are an Indian GST document, so they are shown only in a workspace set to India. If your workspace is set to another country under Settings > Country and currency, the E-way bill menu item and tab are not shown.

How to

How do I cancel an e-way bill?

Cancel it on the government portal first (within 24 hours of generating it), then open the e-way bill in Inbecto and press Mark as cancelled.

Cancelling is done on the government portal; Inbecto only records it.

  1. Cancel the e-way bill on the portal. The portal allows this only within 24 hours of generating it.
  2. In Inbecto open the invoice's ⋯ > E-way bill and press Mark as cancelled.

It then shows as Cancelled on the E-way bills tab and no longer prints on the invoice. Make a new one if the goods still have to move.

On screen: Reports

  1. Open Reports and choose the period (for example last month).
  2. Find Sales register: every invoice in the period with its taxable value and GST.
  3. Press Excel to download it.

Your accountant uses it to file GSTR-1. Make sure business customers have their GSTIN filled in, so their invoices go under B2B.

Good to know

Explained

Should my invoice show CGST and SGST, or IGST?

Same state as your company: CGST + SGST, half each. Another state: IGST. Inbecto works it out from the customer's state, or you choose on the document.

GST is split by where the supply goes (the place of supply):

  • Same state as your company (from your company's state in Settings): CGST and SGST, each half of the rate. 18% becomes CGST 9% + SGST 9%.
  • Another state: one IGST at the full rate.

On the Price and terms step, the drop-down under the GST switch says:

  • From the customer's state: uses the state on the customer record, or the state typed for a walk-in.
  • Same state as us or Another state: choose it yourself, for example when the site is in another state from the billing address.

The invoice prints the place of supply and each tax with its rate and amount.

Make sure your own state is filled in under Settings > Company. Without it Inbecto cannot tell same-state from another state.

Explained

What does a GST tax invoice from Inbecto show?

Invoice number and date, your and the customer's GSTIN, billing and shipping address, place of supply, HSN/SAC and taxable value per line, CGST/SGST/IGST rates and amounts, total in words, payment terms and bank details.

On screen: Invoices

The invoice layout carries what a GST tax invoice needs:

  • Your company's name, address and GSTIN, and the invoice number and date.
  • Bill to and Ship to: the customer's billing address and the site, with the customer's GSTIN for a business.
  • Place of supply (the state).
  • For each line: description, HSN / SAC, quantity, unit price, taxable value.
  • Discount, then CGST + SGST or IGST with rate and amount.
  • Grand total and amount in words.
  • Payment terms, notes, bank details, and spaces for signatures.

Fill in your GSTIN and address in Settings, and the customer's GSTIN, billing address and state on the customer, and every invoice has them.

When something goes wrong

Fixing a problem

The e-way bill portal rejected my file, or Inbecto says it would

The usual causes are a missing or wrong GSTIN, PIN code, state or HSN, a vehicle number in the wrong format, or an amount below what needs an e-way bill. Fix the highlighted fields and download again.

Where in the menu
Finance > Invoices
Who can open it
Company Admin, Accounts, Viewer
Plan
Every plan

On screen: Invoices

Inbecto checks the file the way the portal does and lists problems under "The portal would reject this". Check:

  • GSTINs: 15 characters, matching the state. Yours comes from Settings, the customer's from their record or the invoice.
  • PIN codes: six digits for both addresses, and the right state for each.
  • HSN: every goods line needs one. Lines with a SAC code (services) are not on e-way bills.
  • Vehicle number: like MH12AB1234, no spaces.
  • Distance: a number of km, or 0 to let the portal work it out.
  • Long addresses are split over two lines automatically, since the portal keeps 100 characters a line.

Correct the details in the dialog (or the customer record), download a new file and upload that one. If the portal shows an error code you do not understand, raise a help request with a screenshot.
