Customers

Everyone you quote or bill: their phone, email, site and billing addresses, and GSTIN for business customers. A customer's page shows their quotations, invoices, payments and projects together.

You can also type a new customer straight into a quotation; they are added to Customers by themselves.

The screens

Customers

Everyone you have quoted or billed, with their GSTIN and addresses.

  1. The cards: how many customers you have, how many were added this month, how many are businesses (with a firm name or GSTIN) and in how many cities.
  2. By city: tap a city to see only the customers there.
  3. The list: each customer's name, firm, phone, city, GSTIN and when they were added. Search by name, phone, city or GSTIN.
  4. On each row: Quote starts a quotation for them, the pencil edits them, the bin deletes them.

How do I add a customer?

Open Customers and press New customer, or just type a new name on a quotation: walk-in customers are saved to Customers when the document is saved.

  1. Open Customers and press New customer.
  2. Type the name. The rest is optional but useful:
  • Phone and WhatsApp, used when you share documents.
  • Company / firm and GSTIN for a business customer; they print on invoices.
  • Billing address (printed on invoices) and site address (where the work is).
  • City, State and PIN code. The state decides whether GST is CGST + SGST or IGST.
  1. Save.

Customers can also come from a converted lead, from a walk-in name typed on a quotation or invoice, or from a spreadsheet through Import & export. Customers can be added offline too.

How do I add a business customer with a GSTIN?

Fill in Company / firm, GSTIN, billing address and state on the customer. The GSTIN prints on their invoices and goes into your GSTR-1 B2B export.

Edit the customer and fill in:

  • Company / firm: the registered business name.
  • GSTIN: 15 characters. The first two digits are the state code.
  • Billing address and State: the place of supply. The same state as yours means CGST + SGST; another state means IGST.

On a walk-in you can type the customer's GSTIN and state on the document itself. The Business customers card on Customers counts everyone with a firm name or GSTIN.

How do I find a customer quickly?

Quick answer

I typed a new customer on a quotation. Is it saved to Customers?

Yes. A walk-in customer with a name is added to Customers when you save the quotation or invoice. If someone with the same phone already exists, that customer is used instead.

On screen: Making a quotation Customers

On the quotation or invoice form, choose Walk-in customer and type a name (and phone if you have it). When you press Save:

  • If a customer with the same mobile number (last 10 digits) already exists, the document is linked to them; nothing new is made.
  • With no phone, a customer with exactly the same name and no phone is reused.
  • Otherwise a new customer is added to Customers with the name, phone, address, GSTIN and state you typed.

So you can quote first and tidy up the customer record later.

Quick answer

Where do I see everything for one customer?

Search their name in Quotations, Invoices, Projects or Site visits; each list filters by customer. Press Quote on their row to start a new quotation for them.

Each list searches by customer name:

On a quotation for a returning customer, "Same as last time" offers their earlier lines.

When something goes wrong

Fixing a problem

The same customer appears twice. What do I do?

Keep the record with the most history, correct its details, then delete the extra one. Documents linked to a deleted customer keep the customer's name printed on them.

There is no merge button, so:

  1. Search for the name or phone on Customers.
  2. Decide which record to keep (usually the one with quotations or projects).
  3. Copy any missing phone, GSTIN or address into it and save.
  4. Delete the extra record with its bin.

Quotations and invoices made for the deleted record keep the customer's name, phone and address printed on them; they simply stop being listed under that customer.

Duplicates usually come from typing a walk-in with a different phone format. Type phones as 10 digits and the existing customer is found.
