Getting started

Inbecto runs a building or interiors business in one place: enquiries, quotations, projects, buying, site work, billing, staff and payroll. This chapter is for the person setting it up on the first day.

The menu on the left follows the order work happens: win the job, run it, get paid, look after the client, then the people and setup behind it. The Dashboard is the first screen after signing in. It tells you what needs you today, and the New button at the top of the menu starts any document from any screen.

New to Inbecto? Read I just signed up. What should I do first? and then follow the chapters in order.

How to

How do I book a free demo, or change or cancel it?

Press Book a free demo on inbecto.com, pick a free time and leave your details. The confirmation email has the meeting link, a calendar invitation and a link to change or cancel.

  1. Open Book a free demo (also on the inbecto.com home page).
  2. Pick a time. Choose a day, then a time. Times are India time. If none suit you, tick Call me to fix a time.
  3. Your details. Your name, mobile number, email and company name are needed. Your city, the kind of work and team size help us show you the right things.
  4. Press Book my demo.

You get an email with the time, the meeting link (Google Meet or similar) and a calendar invitation. About an hour before the demo you get a reminder email with the same link. Join from a phone or laptop at that time; nothing needs installing.

To change the time or cancel, press Change or cancel in that email. It opens your booking without signing in. Pick a new time, or press Cancel demo.

  • "Someone has just booked that time" means the slot went while you were filling in the form. Pick another.
  • "You already have a demo booking" means there is one under that mobile number. Use its email to change it.
  • No email? Check spam. Your booking number was shown on screen; quote it if you call us.

How to

How do I open a workspace for my company?

Create an account on inbecto.com, confirm your email, then fill in the company name, workspace address and the kind of work you do. The free trial starts straight away.

  1. Go to inbecto.com and press Start free trial.
  2. Enter your name, email, mobile number and a password of at least 8 characters, then press Create account. (With Continue with Google you are asked for your mobile number once after signing in.)
  3. Open the email from Inbecto and press the confirmation link. If it does not arrive in a few minutes, check your spam folder.
  4. On Set up your company, enter the company name and choose a workspace address, for example "sharmainteriors". It becomes sharmainteriors.inbecto.com, your team's sign-in page.

Check the Country. A business outside India picks its own country: the workspace then opens in that country's currency, time zone and tax, and the plans are priced for that country.

  1. Tick the kind of work you do (windows, interiors, turnkey and so on). Your menu and a starter price list follow it.
  2. Choose a plan. You start on a free trial with nothing to pay today.

Your workspace opens as soon as you finish. Keep the address handy: everyone in your team signs in there.

One person can start one free trial workspace. If you need a second company, contact Lywin through a help request.

Good to know

Explained

What is Inbecto and what can my company do with it?

One workspace for a building business: enquiries, quotations, projects, purchases, site work, invoices, staff and payroll, with your own name on every document.

Inbecto is the workspace interior, turnkey, construction, kitchen, furniture and window (UPVC, aluminium) companies use to run the whole job in one place. The menu follows the order work happens:

  • Pre-sales: leads, site visits, customers, estimates and quotations.
  • Projects: an accepted quotation becomes a project with tasks, milestones, costing and profit.
  • Design: the design studio, client approvals, material selections and documents.
  • Procurement: vendors, purchase orders, materials and subcontractor work orders.
  • Site: daily site reports, wage workers and site cameras.
  • Finance: invoices, payments, expenses and reports.
  • Handover & service: warranties, complaints after handover and AMC visits.
  • People: employees, attendance, leave and payroll.
  • Setup: your rate card, team, settings and plan.

Your company has its own address (for example yourcompany.inbecto.com). Everyone in your team signs in there, and the database only ever shows your company's records to your team.

The menu only shows what your company's work needs and what your role can open. If you cannot find a page, see Why can't I see a page in the menu?.

Quick answer

What is the Workspace setup card on my dashboard, and how do I bring it back?

It is a checklist of what your documents need: address, GSTIN, bank details, logo, terms, rates, drawings, team and a first quotation. Bring it back from Search > Help > Workspace setup.

Where in the menu
Dashboard
Who can open it
Company Admin, Sales, Project Manager, Accounts, Employee, Viewer
Plan
Every plan

On screen: The dashboard

The card counts what is still missing for clean, complete documents:

  • Company address and phone
  • GSTIN
  • Bank or UPI details
  • Logo
  • Terms and conditions
  • Products and rates
  • Drawings for products that need one (a guessed drawing may not match what you sell)
  • Inviting your team
  • Your first quotation

Each line has a button that opens the right page. A step ticks itself once the information is saved; you do not need to mark anything.

If you pressed Hide, open Search (Ctrl K, or the magnifier on a phone), type "setup" and choose Workspace setup under Help. The card comes back on the dashboard.

Quick answer

Is there a full user guide, with pictures of each screen?

Yes: inbecto.com/user-guide. Every feature step by step, a chapter for each part of Inbecto, with a picture of every screen. It changes whenever Inbecto does.

Open the user guide. Anyone can read it, with no sign-in, so you can share the link with your team before they start.

  • Chapters follow the menu: getting started, winning work, running projects, money, your people, setting up, and help.
  • The screens: each chapter opens with a picture of every screen in it, what each part of the screen is for, where it is in the menu, which roles can open it and which plan has it. Open it in the sample workspace shows the real screen with sample data.
  • Every answer in this help centre is in it, written out in full. Words like Settings > Documents & terms, and links to other answers, take you straight to that place in the guide.
  • Search at the top finds any answer, as here.
  • Print or save as PDF on a chapter gives you a copy to keep or hand out.

The guide is made from the same answers as this help centre, so it is never out of date: when a screen changes, its answer and its picture are updated with the release.

In any answer here, See it in the user guide opens that answer in the guide with the screen beside it.

Explained

Why is the menu arranged the way it is?

It follows the order work flows through a building business: win the job, deliver it, get paid, look after the client, then people and setup.

The groups run from the first enquiry to after-sales:

  1. Pre-sales: win the job (leads, site visits, customers, estimates, quotations).
  2. Projects and Design: plan and deliver it.
  3. Procurement and Site: buy, build and record daily progress.
  4. Finance: invoice, collect and see the numbers.
  5. Handover & service: warranties, complaints and maintenance visits.
  6. People: staff, attendance, leave and payroll.
  7. Setup: your rates, team and settings. Most of it is done once.

Click a group name to fold it away. Press Ctrl B (Cmd B on a Mac) to shrink the sidebar to icons; hover over an icon to see that group's pages.

Quick answer

Can I try Inbecto before entering my own data?

Yes. The demo workspace at demo.inbecto.com is a full sample company you can open without an account. Nothing you change there is saved.

Open demo.inbecto.com, or press open the demo workspace under the video on inbecto.com. It is a sample company with quotations, window drawings, projects with costing and profit, reports and payroll.

  • You do not need to sign in, and you cannot sign in there.
  • It is read-only: anything you type is not saved, so feel free to click around.
  • Pressing Sign out in the demo takes you to the sign-up page.

When you are ready, start your own free trial from inbecto.com. Your own workspace starts empty except for a starter price list for the kind of work you chose.

Would you rather someone showed you round? Book a free demo.

Explained

What is my workspace address and where do I find it?

It is your company's own Inbecto address, like yourcompany.inbecto.com. Your team signs in there. Your administrator can tell you what it is.

Every company has its own address: the name chosen when the workspace was opened, followed by .inbecto.com. For example sharmainteriors.inbecto.com.

  • The sign-in page at that address shows your company's name and logo.
  • Signing in at inbecto.com itself is for the platform, not your company. Use your company's address instead.
  • In the phone app, you type only the first part (for example "sharmainteriors") on the first screen.

If you do not know it, ask the person who invited you, or look at the invitation email: the link in it goes to your workspace. Your company administrator can see it in the browser's address bar when signed in.

The address cannot be changed by the company itself. If it has to change, raise a help request.

Quick answer

Which kinds of business is Inbecto made for?

Windows and doors (UPVC, aluminium), modular kitchens, furniture, interior design and turnkey interior or construction work. A company can do more than one.

Inbecto is set up around the services a company sells:

  • Windows and doors (fenestration): window-by-window quotations with drawings, glass and mesh options, UPVC offcut wastage.
  • Interiors: room-by-room quotations, the design studio, client approvals and material selections.
  • Turnkey: civil, electrical and finishing work, running bills against the quotation, subcontractor work orders.
  • Kitchens and furniture use the cabinet drawings and the same quotation tools.

Your menu, price list and quotation forms follow the services your workspace is set up for. To add a service later, see How do I add another service to my plan?.

Explained

Which role should I give each person in my team?

Every plan

Roles decide what each person sees. Pick the one closest to their job; you can fine-tune area by area afterwards.

  • Company Admin: owners and partners. Everything, including settings, team, payroll and the plan.
  • Sales: leads, site visits, customers, estimates, quotations, design approvals and selections. No invoices, purchases or payroll.
  • Project Manager: projects, tasks, site visits, site reports, purchases, materials, work orders, wage workers, cameras, expenses.
  • Accounts: invoices, payments, expenses, purchases, reports, rates, import, and the people pages (employees, attendance, leave, payroll).
  • Viewer: can open almost everything except the people pages, but cannot change anything.

Site staff who only check in, apply for leave and see their own tasks do not need a team seat at all: give them an employee sign-in instead. See Team member or employee sign-in?.

Explained

What are 'What to do next' and 'Since you were last here' on the dashboard?

What to do next lists the five things worth doing first, most money first: overdue invoices, quotations waiting for an answer, accepted ones to invoice and leads to follow up, each with a WhatsApp message ready. Since you were last here sums up what came in while you were away.

Where in the menu
Dashboard
Who can open it
Company Admin, Sales, Project Manager, Accounts, Employee, Viewer
Plan
Every plan

On screen: The dashboard

What to do next

The five most valuable things to do today, the biggest amount first:

  • Overdue: an invoice past its due date. Send a reminder opens WhatsApp with a polite reminder written.
  • Waiting: a quotation sent two or more days ago with no answer (and whether the client has seen it). Follow up opens WhatsApp with a message written.
  • To invoice: a quotation the client accepted that has no invoice yet.
  • Follow-up: a lead whose follow-up date has come.

Without the client's phone number, the button opens the record instead. You see only what your role can open.

Since you were last here

When you come back, a line says what happened meanwhile: money received, quotations accepted, new leads and tasks given to you. Close it with the cross. A visit lasts while you use the app: coming back within half an hour of last using it counts as the same visit, so a long day of work is one visit, and the news counts from when you last stopped.

In December and January, the owner also sees Your year with Inbecto: see Your year in review.
