Projects

A project is a job you have won and are now delivering. It is usually started from an accepted quotation, and brings together everything about the job: stages, tasks, designs, purchases, site reports, payments and the profit so far.

The project page has tabs for each part. The costing tab compares what the job is costing with what it was sold for, so you know if it is making money while there is still time to act.

The screens

All projects

Every job you are running, with progress and money at a glance.

  1. The cards: active projects (and how many are completed), the value contracted across them, how many have a target date this month, and how many are past their target.
  2. By stage: how many projects are in Planning, Design, Procurement, Execution, Inspection and Handover. Tap a stage to see only those.
  3. The list: each project with its code, customer, stage, contract value and target date (in colour when it has passed). Search by project, code or customer.
  4. New project at the top right starts one; most projects are started from an accepted quotation instead.
  5. Your projects are also listed under All projects in the menu, so you can jump to one from anywhere.

Project costing and profit

What the job is costing against what it was sold for.

  1. The cards: what the job was sold at, its total cost so far, the profit and margin, and how much has been received against what was invoiced.
  2. Costing sheet: every cost of the job, totalled by head (profile, glass, hardware, workers, freight, installation and so on).
  3. Each line: date, head, supplier and details, quantity times rate, and amount. Edit or remove it from the end of the row.
  4. Add cost puts in a cost that is not a purchase order or an expense. Entries here stay on this sheet only.

  1. Costing: contract value, actual cost, profit now and what is still outstanding, with invoiced and received.
  2. Payment milestones: the stage-wise plan for collecting the money (booking, production, installation, handover). Use standard schedule fills a usual plan; Add puts in your own stage.
  3. Running bills (further down): bill the work done since the last bill, line by line against the quotation.

From an accepted quotation (recommended)

  1. Open the quotation. If the customer has not accepted on the link, press Mark accepted.
  2. Press Create project.

You get the scope of work copied from the quotation (the chosen version only, if there was a choice), starter tasks and stage milestones for the kind of work, payment milestones from the quotation's payment schedule, and a measurement visit. The project's contract value is the quotation total.

By hand

Open All projects and press New project. Fill in the name, customer, stage, contract value, internal budget, dates, project manager and site address. Add tasks, milestones and visits yourself afterwards.

How do I see the profit on a project?

Open the project's Costing & profit. Add costs as they happen (profile, glass, hardware, factory, freight, installation and so on); linked purchase orders and expenses are counted too. It shows sold at, received, total cost and profit.

  1. Open the project and choose Costing & profit on the stage bar.
  2. Press Add cost for each cost as it happens. Choose the head (profile, glass, hardware, factory labour, electricity, freight, measurement, installation, or name your own like "Scaffolding"), and type the amount, or quantity x rate. Several entries per head are fine, for example two glass suppliers.
  3. Already recorded elsewhere lists purchase orders and expenses linked to this project. They are counted, never copied; untick one to leave it out of the profit.

The top shows Sold at, Received, Total cost and Profit.

Entries on the costing sheet are internal only; they are not added to Purchases or Expenses. Only company admins and accounts see this page. Reports > Project profitability gives the same for every project in a period.

How to

How do I plan stage-wise payments for a project?

On the project's Payments tab, Payment milestones split the contract into stages with a percentage or amount and due date. Paid amounts come from recorded payments. Use standard schedule fills a usual split.

  1. Open the project > Payments.
  2. Under Payment milestones, press Add payment milestone for each stage (booking, production, installation, handover). Give a percent of contract or an amount, and a due date.
  3. Or press Use standard schedule for a usual split.

Projects made from a quotation with a payment schedule already have these. What is paid against each stage comes from payments recorded on the project's invoices. The client sees the payment schedule on their project link.

Set a contract value on the project first; without one, percentages cannot be worked out.

How to

The client wants extra work. How do I add it to the project?

Record it as a change order on the project's Payments tab: what is changing, why, the extra amount, your extra cost and extra days. Approving it raises the project value.

  1. Open the project > Payments > Change orders.
  2. Press Add change order: what is changing, the reason, the extra amount to charge, the extra cost to us, tax % and extra days.
  3. It does not change the project value until you press Approve (once the client agrees). Reject keeps it on record without charging.

An approved change order adds to the contract value and the profit figures. Bill it with an invoice like any other part of the job.

How to

How do I plan the material a site needs?

On the project's Materials tab add each material with the quantity needed. It shows what is ordered, received and on site, and what is still to order; raise purchase orders against the shortfall.

Explained

How does the UPVC offcut wastage estimate work?

From the window drawings, Inbecto works out the profile bars needed and the offcut left, by weight. Set your bar length, cut allowance and profile weights; record scrap you sell.

On Costing & profit, UPVC offcut wastage (estimate) uses the windows on the project to estimate how many profile bars are cut and how much is left as offcut, by weight.

  • Bars and profile weights: set the bar length (mm), the allowance per cut (mm), the scrap rate (₹/kg) and each profile's weight. Check them against your profile supplier's catalogue. They apply to every project's estimate.
  • Record scrap sold notes money you got back for offcuts.

It is an estimate from the drawings, not a cutting list.

Why can't I see a project, or its costing?

  • Costing & profit missing on the stage bar: it is only for company admins and accounts.
  • A locked part of the project (Design, Materials, Site, Handover, Costing) belongs to a plan feature your package does not include. It says so when opened.
  • Completed or cancelled projects are not in the sidebar list; find them on All projects by changing the stage filter.
