Settings, branding and documents

Your company's details as they print on every document: name, address, GSTIN, logo, signature, bank and UPI details. Also the numbering of documents, your terms and conditions, ready templates for different kinds of work, and which pages your team sees in the menu.

Only a Company Admin can change settings. Changes apply to new documents; documents already saved keep what they had.

The screens

Settings: company

  1. The tabs: Company, Documents & terms, Templates, Menu and Billing. Save changes at the top right keeps what you changed on any tab.

  3. Paste your terms as they are: your own numbers, bullets and a. b. sub-points are kept, and a line ending with a colon prints as a heading.

How do I change my company's name, address, GSTIN or phone on documents?

Settings > Company > Company profile. Changes apply to new documents and to the print of existing ones that use the company details.

On screen: Settings: company

  1. Open Settings > Company.
  2. Under Company profile, change the company name, legal name, phone, alternate phone, email, website, GSTIN, city, state, PIN code and address.
  3. Press save. "Settings saved" confirms it.

The state matters in India: it decides CGST + SGST or IGST on every invoice. Outside India the same boxes are called by your country's own names (for example Emirate and P.O. Box, and TRN instead of GSTIN). The workspace address (yourcompany.inbecto.com) is not changed here.

My business is outside India. How do I set my country, currency and VAT?

Every workspace starts as an Indian one: rupees, GST, India time and a year from April. If your business is in another country:

  1. Open Settings > Company.
  2. Under Country and currency, choose your Country. The currency, time zone, the month your financial year starts and how tax is charged are filled in for you.
  3. Check each one. For tax, One tax at one rate is for VAT (and GST in Australia, or one sales tax rate). Type what the tax is called (for example VAT) and what your tax number is called (for example TRN).
  4. Set your usual tax rate under Documents & terms, then press Save changes.

What changes:

  • Amounts on every screen and on new quotations and invoices are shown in your currency, and the total is written in words in it (for example "Dirhams ... Fils Only").
  • Invoices show one tax line, such as "VAT 5%", and your tax number with its own name. An invoice with tax and your tax number is titled TAX INVOICE.
  • Reports count the financial year from the month you chose.
  • Customer phone numbers typed without a country code are taken to be in your country for WhatsApp.
  • Tools made only for India are not shown: e-way bills, the UPI button for customers, and full statutory payroll (PF, ESI, PT, TDS). Payroll works in the simple way: salary, leave and your own deductions.

Things to know:

  • Choose your country before your first quotation or invoice. After that the country and currency cannot be changed from Settings, so your records never mix two currencies. If it was set wrongly, raise a help request and the Inbecto team will change it.
  • Documents already made keep the currency and tax they were made with.
  • Your Inbecto plan is priced for your country, in its currency, and paid by card. See How do I pay for Inbecto from outside India?.

Explained · For Company Admin

How does document numbering work?

Each document type has its own prefix (quotation, estimate, invoice) in Settings > Documents & terms, and numbers follow on by themselves. Editing a document keeps its number; deleting leaves a gap.

Where in the menu
Setup > Settings
Who can open it
Company Admin, Viewer
Plan
Every plan

On screen: Settings: company

Open Settings > Documents & terms and set:

  • Quotation prefix
  • Estimate prefix
  • Invoice prefix

Each new document gets its prefix and the next number, for example SI-INV-0042. Numbers never repeat.

  • Editing a document keeps its number.
  • Duplicating makes a new number.
  • Deleting leaves a gap, which is why deleting invoices is for admins only.
  • Changing a prefix applies to new documents; old ones keep their numbers.

Want numbering to start again each financial year? Change the prefix on 1 April (for example SI-2627-).

How are areas rounded on quotations?

  • Exact (full precision): the amount uses the exact area.
  • Display 2 decimals only: shown to 2 decimals, worked out exactly.
  • Area to 2 decimals: the area is rounded to 2 decimals before pricing.
  • Nearest 0.5 sq.ft. / Nearest whole sq.ft.: the trade habit of charging in half or whole square feet.

It applies to new lines. Grand-total round-off is a separate switch on each document.
